OFFICE MANAGER

The Solidaridad Network Secretariat is looking for an internationally oriented, hands-on office manager for 32 to 36 hours a week. 

We are looking for an experienced, professional, self-directed and native level English and Dutch speaking colleague with excellent secretarial, office managerial and intercultural and interpersonal skills. The small team of around 15 staff is composed of the Executive Director of Solidaridad Network, the Director of Policy and Programmes, the Executive Assistant and several issue managers working to support the quality systems and policy innovation areas.

Tasks and Responsibilities

The Office Manager is responsible for a range of different secretarial, office management and other supporting tasks:

Reception:

  • As we are a relatively small team, you will form the central entry point of the organization and as such answer incoming phone calls and (e)mail, and receive guests.

Secretarial support:

  • Organize & coordinate international meetings hosted in the Netherlands

  • Make travel arrangements and take care of visa applications

  • Schedule appointments, meetings and conference calls

  • Plan, prepare and take minutes of internal staff meetings (in English)

  • Liaise and communicate with Office Managers in the Regional Expertise Centres for network-related issues

  • Manage the archive (physical and digital) and file relevant documents

Office Management:

  • Ensure a pleasant and orderly office atmosphere

  • Ensure a safe work environment

  • Take care of inventory management and purchase office supplies and groceries

  • See to proper organization and functioning of the work environment and provide improvements where needed

  • Assist with HR, Account management and CRM

  • Liaise and communicate with Office Managers in the RECs for network-related or other specific issues

Required background and competencies

  • Relevant educational background, minimum HBO level

  • Relevant work experience in an international environment

  • Excellent at keeping oversight, problem solving, planning and organizing

  • Excellent interpersonal and written communication skills in Dutch and English. Active knowledge of other languages relevant for the regions where Solidaridad is based is valued

  • Flexible team player with the ability to work independently and with limited supervision

  • Multi-tasker with the ability to prioritize and work under pressure

  • Strong work ethic and a high level of professional conduct

  • IT sensibility and skills: up–to-date skills with Google mail and Suite or similar cloud-based applications and the ability to (learn to) work with other programs and software systems

  • If other than Dutch nationality: working permit for the Netherlands
